The short version

  • CoverShift connects clinics with locums and gives locums tools to track and invoice their work. We are not an agency or employer, and we are not part of the arrangement between a clinic and a locum.
  • Each side is responsible for its own checks, credentials, insurance, tax and invoices. Our credential checks help, but they are not a guarantee.
  • We do not rate or review clinics or locums, and past bookings or cancellations never decide who is offered work.
  • CoverShift is free today. Fees shown in the app are indicative; we will give 30 days’ notice and ask you to agree before charging anything.
  • Don’t put patient or health information into CoverShift. It isn’t built to hold it.
  • We give 30 days’ notice before changing these terms in a way that isn’t in your favour, and you can leave first.
  • Queensland law applies, and your rights under the Australian Consumer Law are not affected.

1. About these terms

These terms are an agreement between you and Jai Majisa Pty Ltd (ABN 88 702 694 228), which operates CoverShift. By creating an account or using CoverShift, you agree to them.

CoverShift is for healthcare businesses and practitioners. You must be at least 18. If you use it for a clinic or a company, you confirm that you are authorised to bind it to these terms.

2. What CoverShift is, and is not

CoverShift lets clinics post shifts and plan cover, lets locums find and apply for shifts, and gives locums tools to record their work and produce invoices.

  • We are not a locum agency, employer or recruiter. We do not employ locums, supply them to clinics, or supervise any clinical work.
  • When a clinic accepts a locum for a shift, the arrangement is between the clinic and the locum. We are not a party to it.
  • CoverShift does not process payments. Clinics pay locums directly, on the terms they agree between themselves.
  • We do not provide clinical services or clinical advice.

3. Your account

  • Give accurate information and keep it up to date.
  • Keep your password private. You are responsible for what happens in your account.
  • Each account is for one person. A clinic that needs several people to have access can ask us to set up an organisation, instead of sharing a login.
  • Tell us straight away at hello@covershift.com.au if you think someone else has used your account.

4. If you are a locum

  • Keep your registration current, work within its scope and any conditions on it, and hold the insurance your work requires.
  • You are not our employee. Whether you work for a clinic as a contractor or as an employee is for you and the clinic to agree, and each of you is responsible for the obligations that come with it, such as tax, superannuation, insurance and workplace laws.
  • If you work as a contractor, you are responsible for your own tax, GST and superannuation, and for the invoices you issue.
  • Use the correct Medicare provider number for each practice location. Keeping it against the right site in CoverShift is a convenience, not a check.
  • Turn up for the shifts you accept. If you cancel a booking, the clinic is told and we keep a private record of it, marked late if it is within a day of the shift.

5. If you are a clinic

  • Describe shifts accurately: dates, hours, rate, and anything you offer such as travel or accommodation.
  • Check that a locum is registered, insured and suitable before they work for you, as the law and your own policies require.
  • Provide a safe workplace, pay locums as you agreed, and make hiring decisions lawfully.
  • Only add staff details you are entitled to use, and tell your staff that they are kept in CoverShift.
  • Give access to your clinic or organisation only to people who should have it.

6. Credential checks

We may check a locum’s registration on the public register and review their insurance details. A result such as “registration checked” shows what we saw on the date shown. It is not a guarantee that a locum is registered, insured or suitable today, and it does not replace a clinic’s own checks.

7. Shifts, applications and bookings

A clinic posts a shift, a locum applies, and the clinic decides whether to accept. Either side may cancel a booking, and the other side is told. For shifts booked well in advance, CoverShift asks both sides to re-confirm closer to the date.

CoverShift does not rate or review clinics or locums. Past bookings, completed shifts and cancellations are never shown to other users as a score, and never used to decide who sees a shift or who is offered work.

We may remove a shift or an application that breaks these terms or the law.

8. Ledger, invoicing and accounting tools

  • CoverShift calculates hours, GST and totals from what you enter. Check your invoices before you send them: you are responsible for what they say and for the tax that applies.
  • Once work is on an invoice, it is locked so it cannot be billed twice. Corrections to an issued invoice are made with a credit.
  • If you connect Xero, you authorise us to create draft invoices in your Xero organisation and to read your contacts, accounts and tax rates. Invoices created in Xero are then managed in Xero.
  • Employer invoice formats, such as Specsavers’, follow the requirements the employer has published. Employers can change their requirements, so check before you send.

9. Other services you connect

Some features work with services run by other companies, such as Xero. Their own terms and privacy policies apply to them, and we are not responsible for how they operate. You can disconnect them at any time.

10. Fees

CoverShift is free to use today. Any fee shown in the app or on our pricing page is an indication of possible future pricing, not an amount you owe. Before we charge for anything, we will give you at least 30 days’ notice and ask you to agree. You will not be charged for anything you have not agreed to.

11. Acceptable use

You must not:

  • put information about patients, or anyone’s health, into CoverShift, including in shift notes, applications, staff leave notes or imported records. CoverShift is not designed to hold health information and must not be used for it;
  • give false information, or pretend to be someone else;
  • use other people’s details, such as provider numbers or contact details, for anything except the shift or invoice they relate to;
  • contact other users about things unrelated to shifts on CoverShift;
  • post a shift, or make a decision about who works it, that discriminates unlawfully, for example on the basis of sex, race, age, disability, pregnancy or family responsibilities;
  • copy data out of CoverShift in bulk, or try to get around its security or access rules;
  • break the law, or anyone’s rights, while using CoverShift.

12. Your information and our software

You keep ownership of the information you put into CoverShift. You give us permission to store, show and process it as needed to run CoverShift for you and the people you work with, as described in our Privacy policy.

We own CoverShift, its software and its brand. If you send us suggestions, we may use them without obligation to you.

13. Changes to the service

CoverShift is new and will change, and we may add, change or remove features. If we remove a feature you rely on, or close CoverShift, we will give you reasonable notice (at least 30 days, unless we must act sooner for legal or security reasons) so you can download your data under “Your data”.

14. Our responsibility to you

You may have rights under the Australian Consumer Law that cannot be excluded. Nothing in these terms limits those rights.

To the extent the law allows:

  • CoverShift is provided as it is, and we do not promise it will always be available or free of errors;
  • we are not responsible for what clinics and locums do, including clinical care, the conduct of a shift, payment between them, or a cancellation;
  • neither you nor we are liable to the other for indirect or consequential loss, such as lost income or profit;
  • where our liability cannot be excluded but can be limited, it is limited to supplying the service again or paying the cost of having it supplied again.

CoverShift is free during launch, and these limits reflect that. Nothing in these terms limits liability for fraud, wilful misconduct, or death or personal injury caused by negligence.

15. Responsibility for your own conduct

You are responsible for, and will cover us against, claims by other people that arise from your breach of these terms or the law, or from an arrangement between you and another user, except to the extent the claim is caused by us.

16. Suspending or closing an account

You can stop using CoverShift at any time, and delete your account in the app under “Your data” or by emailing hello@covershift.com.au. We may suspend or close an account that breaks these terms, puts other users at risk, or where the law requires it. We will tell you why first and give you a chance to respond, unless there is an urgent risk to users or the law requires us to act at once.

17. Changes to these terms

We may change these terms when it is reasonably necessary: for example because the law changes, because we add or change a feature, or to protect users. We will tell you at least 30 days before a change that is not in your favour takes effect, by email and in the app. If you do not agree, you can close your account before it takes effect, and download your data first. Changes do not apply to anything that happened before they take effect.

18. Governing law

These terms are governed by the law of Queensland, Australia. You and we agree to the jurisdiction of its courts. If you have a dispute with us, please contact us first at hello@covershift.com.au: we will try to resolve it with you within 20 business days before either of us starts proceedings, unless urgent relief is needed.

19. General

  • Notices. We send notices to the email address on your account or show them in the app. You agree to receive them electronically. Send notices to us at hello@covershift.com.au.
  • Transfer. We may transfer these terms to a related company or to a buyer of the CoverShift business, and will tell you if we do. You need our agreement to transfer them.
  • Events outside our control. We are not responsible for failing to do something because of an event outside our reasonable control, such as an outage at a hosting provider.
  • Our relationship. These terms do not make us your employer, agent or partner.
  • The whole agreement. These terms and our Privacy policy are the whole agreement between you and us about CoverShift. If part of them cannot be enforced, the rest still applies, and not enforcing a term straight away does not waive it.
